Better business travel one click away for Working Links

As a national public/private/voluntary sector joint organisation, and with business travel as a necessity for its day-to-day running, it was only fitting that Working Links would strive to obtain the most innovative travel management service available.

With a significant spend on business travel and an ever growing need for prudent spending, Working Links - specialist in helping the long-term unemployed return to work - turned to Birmingham-based Click Travel.

For Working Links" head of supply chain management Fay Davis it was a chance referral from one of the TMC"s existing clients that first initiated contact with the company.

Fay said: "We had heard great things about Click Travel and it was that 'word of mouth' that put them at the front of our minds when we decided to review our business travel requirements."

Tasked with analysing Working Link's current travel spend and booking process, Click Travel created a bespoke package that would meet the company's needs and fulfil the areas in which its existing TMC was failing.

Click Travel MD Simon McLean commented: "When we first met with Working Links we discussed in detail what they were looking for and what we could offer. Their immediate issues were the level of service they were currently receiving from their existing agent and the fees that they were being charged.

"That was two boxes we felt we could tick straight away. We pride ourselves on our transparent fee structure, and our commitment to first class customer service."

Primarily commissioned to manage Working Link's rail and flight needs Click Travel's role subsequently expanded to include hotel booking - which had initially been expected to remain with the existing provider.

And after a successful four month trial period, starting in January 2007, Click Travel now enjoys a retainer-based partnership with Working Links, continuing to build on the service it provides by holding quarterly review meetings and maintaining strong lines of communication with the Working Links team.

Speaking on the decision to appoint Click Travel on a more permanent basis, Fay said: "We decided to work with them as their friendly and efficient team offer an entire travel management solution, which is exactly what we wanted.

"From my experience Click Travel is well ahead of its competitors in terms of its IT capabilities, including sending confirmations by text, providing excellent management information and access to the online booking systems.

"We have always found that they are willing to go 'the extra mile' to help support our business."

Click Travel Takes a Coffee Break

When leading British coffee shop chain, Caffe Nero reviewed its travel management needs it was tasked with finding a TMC that was large enough to manage its extensive business travel but small enough to offer a face to its travel booking - it found the answer just a click away.

The coffee giant enlisted the help of Click Travel, tasking the TMC with providing a solution for its extensive rail ticket booking needs. Ceri Aiken, internal communications manager for Caffe Nero, comments:

"The main appeal of Click Travel, when we initially appointed them as our TMC in 2006, was the fact that it can deliver a personal service. I needed to be sure that I would be able to get in touch with the people managing our travel bookings and not be passed from pillar to post by a faceless travel management provider."

Following a successful trial period, during which time Click Travel provided a solution to Caffe Nero's rail ticket bookings, Click was appointed on a permanent basis.

Speaking on the appointment, Click Travel's Simon McLean commented: "From the outset of our relationship with Caffe Nero we were confident that we would be able to deliver, and surpass, on fulfilling their rail needs.

"We pride ourselves in the development of all of our systems and this ensures that we deliver the same high standards across the board including air, hotel and rail. Having initially used a Travel Team for all of its rail booking, the release of Click's new online system saw Caffe Nero switch 90% of its bookings online using 'Travel Manager'.

Ceri Aiken concludes: "As well as being very quick to respond and providing a reliable service, Click Travel has enabled us to develop our travel booking system with its own. We have grown with them. The introduction of its online booking system saw us move to booking our travel online, allowing us greater freedom and flexibility.

"Click Travels reporting system is a key tool in my day-to-day role and helps us to managed and drive down our travel expenditure, which is a real bonus in the current economic climate."

When Rathbone, one of the UKs foremost youth support organisations, came to Click Travel, they had a simple problem – they were spending too much time co-ordinating their travel bookings.

Rathbone bought into Click’s Travel Cloud service and immediately noticed the difference it was making to their organisation – in terms of time and cost savings.

"As a youth charity with centres across the UK, Rathbone was looking for a cost effective way of arranging travel and accommodation”, said Peter Gibson, spokesperson for Rathbone: “We first made contact with Click Travel at a voluntary sector event – ever since, they have become a one-stop shop for all of our travel and accommodation needs, offering accessible and friendly customer support.

Two of Rathbone's trainees - Nathan Pollin and Lauren McKeever - witnessed this first-class service recently when they visited London for the first time in their lives: “Lauren has swapped homelessness for an education thanks to our Rathbone centre in Belfast - along with Nathan, whose life has been blighted by illness, she helped the charity pitch a major bid to an international company. Their journey was an exciting one thanks to Click Travel."

Republic

Leading UK fashion retailer Republic came to Click Travel looking for a cost effective way of managing the online travel spend for their workforce.

Having previously dealt directly with suppliers, Republic needed a system that offered the transparency of price that their employees were used to, while controlling its gross spend to fall in line with its corporate travel policy.

Sarah Winterburn, Facilities Manager for Republic Retail, said: “We chose Click Travel as they offered us an online booking solution that suited the needs of our business, with the added benefit of a dedicated customer service team to help with the planning of more complex journeys.” After implementing Click’s Travel Cloud online booking tool, the company instantly noticed the difference in the levels of travel policy compliance and online adoption, with the latter being 100% shortly after the service was introduced.
